Hello everyone. This morning I've been wrestling with formatting my MS (once again), and have found that it's kind of simple to set up MS Word for using the proper proofreaders' marks for bold and italic text. (Bold text is supposed to have a wavy underline, and italic is supposed to have a straight underline) Here are some instructions if you'd like to set your Word software up to use these formats via hotkeys similar to those already set up in word (CTRL+B for bold and CTRL+I for italic) To set up a hot key for Manuscript Submission Italics: 1) Go to the FORMAT menu in Word 2) Choose STYLE from the dropdown 3) Click the "New" button 4) Leave the name (eg: Style1), but change the "Style Type" to "Character" 5) Change the "Based on:" drop-down to "emphasis" 6) Click the FORMAT button and choose "Font" from the drop down 7) In the "Font style" section, choose "italic" and in the "Underline style" choose the straight line 8) Click the "Shortcut Key" button 9) In the window that opens, your cursor will be in the "Press new shortcut key" text box - press ALT+I 10) Beneath the text box a notation will appear to tell you if that shortcut combination has already been used. (By default, it is not) If it's already used, you may want to choose another combination, if not, just click on the "Assign" button and the shortcut will be associated with the new style 11) Click the "Close" button to get back to the new style window 12) Check the "Add to template" check box if you want to have this style available in your Normal.dot template file (ie: make it always available to all new documents). If you just want it in the current document only, do not select this checkbox. 13) Click the "OK" button - your new proofreader's italic is now available by using the ALT+I shortcut combination To set up a hot key for Manuscript Submission Boldtype: [use steps 1-4 from the above instructions] 5) Change the "Based on:" drop-down to "strong" 6) Click the FORMAT button and choose "Font" from the drop down 7) In the "Font style" section, choose "bold" and in the "Underline style" choose the wavy line (scroll down to find it in the options) 8) Click the "Shortcut Key" button 9) In the window that opens, your cursor will be in the "Press new shortcut key" text box - press ALT+B 10) Beneath the text box a notation will appear to tell you if that shortcut combination has already been used. (By default, it is not) If it's already used, you may want to choose another combination, if not, just click on the "Assign" button and the shortcut will be associated with the new style 11) Click the "Close" button to get back to the new style window 12) Check the "Add to template" check box if you want to have this style available in your Normal.dot template file (ie: make it always available to all new documents). If you just want it in the current document only, do not select this checkbox. 13) Click the "OK" button - your new proofreader's boldface is now available by using the ALT+B shortcut combination NOTE: There is one trick/hangup to this method. Pressing the shortcut key combinations again DOES NOT turn the style OFF. I have 3 suggestions: 1) after typing in your manuscript bold or italic text, begin typing your next words, then highlight them and choose "Normal" from the style toolbar dropdown (or by going to the format menu, choosing style, then choosing "Normal" and pushing the Apply button); 2) use the new manuscript formats AFTER you've typed the words you want to format by selecting them and then using the shortcut keys; or 3) do like I did, and make a macro that turns the setting back for you. I used shortcut keycombination ALT+N to return the text to normal, and I had to do it with a macro because there are a few keystrokes involved. I can share this macro with you if you want it (macros can be exported and imported between instances of MS Word) - it's a very simple one, really. Thank you for the information C.E.. Have you ever read the book "Shadows of the Wind" by Carlos Ruiz Zafon? It is loaded with italics.
